Role Definition

The role will liaise with :

The Service Provider shall perform the following activities as state below:

ACTIVITY 1 : Array cable package management

  • Identify required resources
  • Managing the package organisation
  • Ensure optimum distribution of tasks between the members of the package organisation and that expert knowledge is used to the extent necessary
  • Ensure development and implementation of QA/QC and HSE procedures for the package
  • Support any necessary contract VO and claim negotiations
  • Ensure effective collaboration with Procurement, Legal, HSE, etc
  • Support the Risk Assessment and Risk Management within the package, including the monitoring of overall risks and documented risk register.
  • Support the identification and implementation of risk mitigation actions
  • Support the identification of key project stakeholders
  • Facilitate coordination of interfaces with other packages
  • Report to EPCI director on main ongoing topics, preparation of board slides
  • Payment certification in liaison with contract manager and finance team

Deliverables :

  • Distribution of tasks between members of the package
  • Relevant update of the Monthly progress report for the Array Cable Package
  • Regular Reports to the EPCI Director
  • Regular update of the Contractual and Commercial register for the allocated contracts
  • Contractor’s Request Proposal Form, Variation orders
  • VCM forms (internal request to issue VOs)

Activity 2: Project management during execution stage

  • Participate in contractual execution management and administration
  • Perform commercial management of contracts in cooperation with Contract Manager
  • Ensure Cable Contractors act in accordance with Contractual terms and conditions.
  • Assess impact of technical decisions and consequent actions, defining actions along execution of the Package works.
  • Manage and follow up of contractual payment schedule and applications for payment with analysis of contractual impacts on future commitments and associated risks
  • Manage pricing, commercial and contractual consequences associated with other contracts, in close collaboration with other Contracts, T&I or Package Managers
  • Ensure both Package team and the Contractors meet all contractual obligations, in accordance with contractual terms and conditions.

Deliverables :

  • Regular Reports to the EPCI Director
  • Management advise in coordination with the legal department

Participation to Meetings & Workshops

In order to ensure a continuous communication between the Client and the Service Provider, a series of meetings will be organised by Client throughout the duration of the Contract. Attendance and participation to these meetings will be key to ensure communication and alignment between the parties.

Coordination Meetings

Among the recurrent meetings organised by Client, the Service Provider may be requested to attend to monthly coordination meetings. These meetings will aim at:

  • Measuring performance of the Contract execution,
  • Reviewing upcoming needs for additional activities and termination of on-going activities as the case may be,
  • Holding discussions on challenges, difficulties, lessons learnt.

For the service, presence in the Paris office is expected 3 days every two weeks for persons based outside of the Paris region, and 3 days per week for people living in the Paris region. Frequent visits to Saint-Nazaire region and Dieppe region may also be required.

From time to time, the coordination meetings could be face-to-face meetings held in the Client’s offices in Paris-La Défense. However, if jointly agreed, those meetings will normally be held through conference call or teleconference call.

Note:

  • The agenda of coordination meetings is at this stage preliminary and will be fine-tuned all along contract execution,
  • The frequency of these meetings may vary (increased, decreased or even suspended) during periods when exchanges do not seem to be necessary.

Ad hoc Meetings & Workshops

In addition, various ad-hoc meetings or workshops will also take place. If Client judges it relevant, the Service Provider will be requested to attend to these ad-hoc meetings.
