Description
Context
One of Europe's leading electricity transmission system operators and a central actor in Belgium's energy transition. The Regional Grid Development (RGD) team works at the intersection of long-term grid planning, infrastructure portfolio management, and customer connection studies, defining how the Belgian and regional transmission network evolves over the medium and long term. The team interfaces directly with distribution network operators, energy regulators, major industrial customers, and internal approval bodies.
Role overview
The Project Management Officer (PMO) provides structured coordination and administrative support to the Regional Grid Development team, enabling the Grid Developers to focus on their core technical and analytical work. The role combines meeting management, presentation production, data management, and workload planning support across a team that operates in a fast-paced, multi-stakeholder environment.
This is a coordination and support role — not a technical engineering position. The ideal profile is highly organised, fully bilingual (Dutch and French), comfortable with Office tools and data, and able to work autonomously with a strong attention to detail.
Required Qualification
Key responsibilities
Meeting coordination and secretariat
Manage the secretariat of the Grid Development Sounding Board: plan meetings, prepare and distribute agendas, handle timekeeping, track and follow up on actions
Coordinate scheduling across internal and external stakeholders; ensure meeting logistics run smoothly and documentation is produced promptly
Presentations and external documents
Prepare professional presentations for internal and external use: PowerPoints for distribution network operators (DNOs/DSOs), energy regulators, industrial customers, and internal approval bodies
Lay out and format external documents to a high professional standard; ensure consistency of visual identity and language quality in both Dutch and French
Data management and reporting support
Support data management for the RGD team via Excel: data linking, filtering, formatting, and layout; contribute to Power BI reporting where relevant
Maintain data quality across RGD team processes; identify and address inconsistencies in data and documentation
Support the preparation of high-level workload planning for the RGD team
Day-to-day Grid Developer support
Assist Grid Developers in drafting project scoping documents
Support budget preparation for long-term studies
Maintain an up-to-date overview of pending lists, open questions, and responses required from external parties
Contribute to general data quality improvement initiatives across team workflows
Requirements
Language
Dutch: written and spoken fluency – mandatory (team working language)
French: written and spoken fluency – mandatory (external communications, regulators, customers, documents)
Both national languages are required at a professional written level. Profiles unable to draft in both Dutch and French cannot be considered.
Skills
Must-have:
Strong command of MS Office: Word (document formatting), Excel (data management, linking, filtering), PowerPoint (professional presentation production)
Meticulous and detail-oriented: high standards for accuracy in data, language, and document formatting
Autonomous with initiative: able to manage recurring coordination tasks independently and flag issues proactively
Familiarity with the Belgian energy sector, grid development, or regulatory environment
Nice-to-have:
Experience with Power BI or similar data visualisation tools
Prior PMO, coordinator, or administrative support experience in a technical or engineering team environment
Soft skills
• Highly organised: manages multiple concurrent tasks (secretariat, presentations, data, planning support) with clear prioritisation
• Reliable and rigorous: consistent quality output; the team depends on this role to keep coordination running smoothly
