Role Definition

The role will liaise with:

  • WTG T&I Installation Manager mainly
  • Rest of WTG Package
  • Wider LEMS project

Activity 1: Pre-assembly NOY/TRE T&I Activities

  • Support T&I Manager with Evaluation Method statements
  • Support Package Manager and T&I Manager with evaluation of Turbine Supplier delivery (supply, assembly and pre-installation of WTG components); Follow up component delivery, Installation tool delivery and load-out operation readiness.
  • Review documents related to Installation scope and Port operations (method statements, risk assessments, lift plans etc.).
  • Drive and maintain the document control process and follow-up contractors’ delivery of technical documentation (incl. MWS and other 3rd parties’ validation).
  • Support T&I Manager with liaison with contractors (including correspondences and meeting coordination) and internal stakeholders (Contract Manager, HSE dpt, Quality dpt, PMO (inc.Document Control, planning), budgeting and reporting expectations etc

Deliverables : Comment sheets / reports / Minutes of Meeting / transmittals / written communications

Activity 2: T&I NOY Seabed Preparation

  • Support T&I Manager with Evaluation of seabed preparation contractor delivery; Including, but not limited to: DPR, inspections, as-found/as-left reporting, processes in place.
  • Support T&I Manager with preparation and follow up of execution.
  • Support T&I Manager with liaison with wider LEMS project: Alignment with Contract Manager, Permitting team, HSE (SIM-OPS), Quality, DCC, planning, budgeting and reporting expectations.
  • Support T&I Manager with liaison with Marine Warranty Surveyor; Obtain COA from MWS.
  • Review of documents for CSD vessel / Port operation: Point of contact of Seabed prep topics.
  • Support T&I Manager with Liaison with Contractors including correspondence: next step proposals to Package manager.

Deliverables : Comment sheets / reports / Minutes of Meeting / transmittals / written communications.

Activity 3: T&I NOY / TRE Installation and Commissioning

  • Support T&I Manager with evaluation of the delivery of T&I contractor (Vessel Owner) delivery and WTG supplier (for the scope of installation)
  • Support T&I Manager with liaising with marine Warranty Surveyor and other 3 rd parties.
  • Support T&I Manager with managing technical documentation for Installation Vessel and Port operations, Commissioning (up to Take Over); Support/Align contract with port with
  • Installation Vessel Ops. E.g. port locks (NOY).
  • Support T&I Manager with Liaison with Contractors (incl. correspondence and meetings).
  • Support T&I Manager with liaising with wider LEMS project; Alignment with Contract Manager, HSE dpt., Quality dpt., PMO (incl. Document Control dpt., planning), budgeting and reporting expectations.
  • Support T&I Manager with following up (incl. documentation) of Installation Interfaces, Vessel mobilization and demob.
  • Support T&I Manager with follow up on Installation, Commissioning and Take Over; Installation, Commissioning and Take Over requirements delivered according to contract.
  • Support T&I Manager with Manage Client Reps on board of Installation Vessel and Commissioning Vessel; Assist in Client Rep’ selection and management; Review and analyse DPR’s, assess EOT and WDT and monitor contractors’ performance during operations.

Deliverables : Comment sheets / reports / Minutes of Meeting / transmittals / written communications / contract. Installation interfaces installed fit for purpose.


Activity 4: T&I NOY / TRE Contract Management support

  • Support WTG Contract Manager with Communications; Drafting of required Installation Comms.
  • Support Contract Manager with Claims; Provide support to claim management.

Participation to Meetings & Workshops

In order to ensure a continuous communication between the Client and the Service Provider, a series of meetings will be organised by Client throughout the duration of the Contract. Attendance and participation to these meetings will be key to ensure communication and alignment between the parties.

Package Meetings

The Client expects to run weekly meetings to discuss:

  • Follow up on Actions / Deliverables / Tasks.
  • Task / Deliverables prioritisation
  • Strategy and organisation.
  • Challenges and plan for the weeks ahead.

Coordination Meetings

Among the recurrent meetings organised by Client, the Service Provider may be requested to attend to monthly coordination meetings. These meetings will aim at:

  • Measuring performance of the Contract execution,
  • Reviewing upcoming needs for additional activities and termination of on-going activities as the case may be,
  • Holding discussions on challenges, difficulties, lessons learnt.

From time to time, the coordination meetings could be face-to-face meetings held in the Client’s offices in Paris-La Défense (France), Nantes (France), Saint Nazaire (France), Le Havre (France), Dieppe (France), However, if jointly agreed, those meetings will normally be held through conference call or teleconference call.

Note:

  • The agenda of coordination meetings is at this stage preliminary and will be fine-tuned all along contract execution,
  • The frequency of these meetings may vary (increased, decreased or even suspended) during periods when exchanges do not seem to be necessary.

Adhoc Meetings & Workshops

In addition, various ad-hoc meetings or workshops will also take place. If Client judges it relevant, the Service Provider will be requested to attend to these ad-hoc meetings.
